Events FAQ

This document provides important information for external vendors supporting events at SUNY Niagara. It outlines expectations, policies, staffing requirements, and institutional procedures.

Use of SUNY Niagara facilities is permitted for approved external individuals, groups, and organizations when such use does not conflict with routine college operations. Facility use is scheduled to ensure orderly and optimal use of college resources. The college reserves the right to deny or limit use in accordance with SUNY policy, anti-discrimination laws, and institutional regulations.

All event requests must be submitted using the College’s event request Excel spreadsheet and emailed to Events@niagaracc.suny.edu. Submission of the form does not guarantee space or approval.

To fully confirm an event, external parties must submit the following:


  • Completed event request form (Excel spreadsheet)
  • Signed event contract
  • Certificate of Insurance (COI) naming Niagara CCC / SUNY Niagara as additional insured
  • Signed Child Protection Policy (CPP) when required
  • 50% deposit

An event is not considered confirmed until all required documents and the deposit have been received and approved.

If SUNY Niagara is officially closed due to weather, emergency, or other circumstances, the event will not take place. A new date must be coordinated with the Event Coordinator.

The College shall employ its own qualified personnel for supervision, operation of college equipment, safety, and maintenance of facilities. Required event support staffing is coordinated through SUNY Niagara in accordance with institutional policy.

Use of facilities must comply with New York State fire safety regulations, legal occupancy limits, crowd control requirements, and all applicable College policies. Room and facility occupancy may not exceed approved safe capacity.

No alcohol is permitted at any events on the SUNY Niagara campus.

No smoking of any kind, including cigarettes, cigars, vaping devices, and electronic smoking products, is not permitted anywhere on SUNY Niagara property. SUNY Niagara is tobacco-free campus.

Facilities are provided “as is.” No alterations may be made. Users must comply with college policies, including parking regulations and use of designated areas only. Estimated charges may change if actual usage differs from requested usage. Cancellation notice requirements apply as outlined in the Facilities Usage Agreement.
